Privacy Policy

Space Aviation Co., Ltd. (hereinafter referred to as “the Company”) establishes the following privacy policy (hereinafter referred to as “this Policy”) regarding the handling of personal information in the services provided by the Company (hereinafter referred to as “the Services”).

1. Basic Policy
The Company complies with the Act on the Protection of Personal Information and related laws, regulations, and guidelines (hereinafter referred to as “laws and regulations”), and appropriately manages and uses the personal information entrusted to us by customers. Some of the Company’s products and services may be subject to other policies; in such cases, please review them together with the applicable terms of service.

2. Acquisition of Personal Information
When acquiring personal information, the Company will endeavor to clarify the purpose of use and will acquire such information by lawful and fair means.
Cookies, advertising identifiers (including but not limited to Identifier for Advertisers/IDFA and Google Advertising Identifier/AAID), and IP address information (collectively referred to as “cookies, etc.”) cannot identify specific individuals on their own. However, when used together with personal information, they will be treated as personal information.

3. Use of Personal Information
The Company will use personal information for the following purposes and will not use it in any way that may promote or induce illegal or improper acts.
Purposes of use include:

  • Responding to inquiries regarding reservations, boarding, airport handling, in-flight services, and facilities related to air transport services.

  • Providing customers with notices and other information regarding services and products.

  • Investigating and analyzing the usage of services and products.

  • Providing information to the Company’s parent company, subsidiaries, or affiliates within the necessary scope for the above operations.

  • When outsourcing all or part of the handling of personal information, the Company will conclude contracts including confidentiality provisions with contractors, or require contractors to agree to terms stipulated by the Company, and will exercise necessary and appropriate supervision to ensure the safe management of personal information.

  • In addition, use for the purposes described under joint use.

4. Provision of Personal Information to Third Parties
The Company will not provide personal information to third parties except in the following cases. Joint use or outsourcing does not fall under third-party provision.

  1. When the customer has given consent.

  2. When disclosure or provision is required by laws and regulations.

  3. When necessary to protect human life, body, or property, and obtaining the customer’s consent is difficult.

  4. When cooperation is necessary for the execution of public affairs by the national or local government, and obtaining the customer’s consent would hinder such execution.

  5. When disclosing or providing statistical data that cannot identify the customer.

  6. When provided due to business succession by merger, company split, business transfer, or other reasons.

  7. When the customer can easily confirm in advance on the Company’s website, etc., the following matters, and has not expressed refusal, in accordance with procedures based on laws and regulations:

    • That the purpose of use includes provision to third parties.

    • Items of personal information to be provided to third parties.

    • Means or methods of providing to third parties.

    • That provision to third parties will cease upon customer request.

    • Method for accepting such requests.

5. Security Measures for Personal Information
The Company will maintain the accuracy and currency of personal information, manage it safely, and take necessary and appropriate security measures to prevent loss, falsification, or leakage. Specific measures include:

  • Implementing access controls to limit the scope of databases containing personal information.

  • Introducing systems to protect information systems handling personal data from unauthorized access and malicious software.

  • Conducting internal training for officers and employees on the protection and proper handling of personal information, defining retention periods according to purposes of use, and disposing of personal information appropriately once the purpose has been fulfilled.

6. Procedures for Disclosure, Correction, Suspension of Use, etc.
The Company recognizes that individuals have the right to request disclosure, correction, or suspension of use of their personal information. A contact desk will be established to handle such requests promptly in accordance with laws and regulations after verifying the identity of the requester.

7. Organization and Structure
The Company will implement proper management of personal information used in business operations and establish a system to ensure the appropriate handling of personal information.

8. Continuous Improvement
The Company will continuously review this Policy and strive to further improve initiatives for the protection of personal information.

9. Joint Use
The Company will jointly use customers’ personal information as follows:

  • Scope of joint users: Takumi Aviation Co., Ltd.

  • Purposes of joint use:

    1. To provide air transport services, tours, hotels, and other travel services and products handled by the Company or joint users.

    2. To send direct mail, provide information on products and services, and conduct surveys.

    3. To conduct sales analysis, research, and development of new products and services.

    4. To transmit and transfer inquiries, applications, or requests from customers regarding products and services to the relevant company.

    5. To properly and smoothly carry out other transactions with customers.

    6. For management and internal control of the Company group.

  • Items of personal information jointly used: name, address, phone number, fax number, email address, workplace (company name, department, position, address, phone/fax number), delivery address, health and medical information related to boarding, dietary restrictions, payment information including credit/debit card details, boarding information with the Company and other airlines, accommodation and travel arrangement details, credit card number/expiry/history, wheelchair and other special arrangements, reservation and cancellation information, usage history, communications with the customer, inquiries/requests/opinions, cookies and website usage logs, etc.

  • Name of the entity responsible for management: Space Aviation Co., Ltd., 1 Yanagishima, Mukōjima, Fushimi-ku, Kyoto-shi, Kyoto 612-0000, Representative Director: Akihiro Yasuda.

10. Request Procedures for Disclosure, etc., and Contact Information
Procedures for requesting disclosure, notification of purpose of use, and related matters regarding personal information held by the Company are as follows:

  1. Request method: Please mail the required documents to the following address.
    Address: Space Aviation Co., Ltd., Personal Information Handling Officer, 1 Yanagishima, Mukōjima, Fushimi-ku, Kyoto-shi, Kyoto 612-0000.

  2. Required documents:

    • Application form for disclosure (select according to requested content).

    • Identity verification documents:

      • For the individual: two copies of identification such as driver’s license, passport, health insurance card (with insurer and insured numbers masked), Basic Resident Registration Card with photo, pension book, disability certificate, residence card or special permanent resident certificate, seal registration certificate, or My Number card (front side only).

      • For a representative: in addition to the above, (i) power of attorney (or documents proving legal representation), and (ii) identity verification documents for the representative (two copies of the same type of identification listed above).

  3. Fees: A handling fee may be charged for disclosure requests. Multiple reservations and boarding information will be treated as separate disclosure requests for each reservation or flight segment.
